Introduction
Projects and events should be well-planned since it ensures success and leads to satisfaction of all the stakeholders. An event plan helps in maintaining transparency of all the activities throughout the event, helps in having an organized approach to every task and communicate goals effectively and work collaboratively towards achieving the main objectives of the event. This report provides the resourcing plan, risk management plan and leadership and management plan for a Music Festival to be held in Victoria in 2016.
Resourcing Plan
Music Festivals is an event organized wherein the artists sing based on different themes such as local music, contemporary music or any other genre music. Most of these events occur annually, which enables the event managers to have an idea about the identification and allocation of the resources effectively, which is very essential. Resources is one of the most important aspect in arranging and running an event. The resources includes people, place, equipment and other things to carry out the different activities in the event (Maylor, 2010). Resourcing plan for the upcoming Music Festival at Victoria would include estimating the resources, identifying the event workforce, managing the resource and human resource planning, which enables the respective team to take the responsibility of the assigned tasks. Estimating the resources include identifying the key resources by breaking down the activities and prioritizing them and assigning them to the respective stakeholders (Malouf, 2012). The Musical festival would involve contractors who would carry out the temporary facilities and fencing, sound, lighting, stage management, catering and waste management and managing the crowd. The event staff working for an event organization would be responsible to design and stage the event as well as manage the crowd. The event would also have staff assigned to manage the traffic at all the routes through which would come to attend the event. All the other resources for the event would be arranged by the contractors. The event management company would thus be able to share its responsibilities with the contractors and will have a team, which overlooks the activities and communicates with the contractors on various tasks and also implement a work-breakdown schedule, which will help the event management team to ensure that all the arrangements are ready on time.
Risk Management Plan
Risk management plan is one of the important aspect of planning any event including music festival. The risk management plan identifies all the potential risks, which can arise from the event to be held and then chalk out the precautions the event organizers have to take to mitigate the identified risks (Larson & Gray, 2014). A risk in the Music Festival can include a person getting harmed, the infrastructure, equipment etc. getting damaged and harming the music event itself. The risk management plan considers the existing risks of the site, risks the event might create and the external risks, which the organizers can hardly control for an event or project (Silvers, 2007). It is suggested that the event organizers should arrange for small and big tents around the site, which can help the people to be in them in case of ill health or in case it starts raining suddenly. The event organizer should ensure that there are required barriers in all the areas, which help the audiences move around comfortably. It is suggested that the event would have an effective traffic management plan wherein the staff will guide the people to the parking lot. The risk management plan will also include a checklist for the staff working on the site for safety, which will enable them to take right action in cases of any problem such as a person falls ill or people try to move around in groups or someone needs emergency attention and needs to be taken to hospital. The risk management plan will also include the process of handling the situation in case any equipment or the stage set falls. There would be some emergency services provided on the site with few ambulances at the site.
